Security/Workflow and System Access


This page provides the sequence of information and forms required for requesting system access to OSU Administrative Systems (Human Resources, Financials and Student Information System - SIS).

Sequence Who HR & Financials Systems Student Information System (SIS)

1.

Human Resources Professional (HRP):
  • The HRP creates an employee record for a newly hired system user (current staff can skip to #4 below).

OIT:
  • Employee's name.# is assigned and supervisor is notified by noon the next day.
  • Contact 8HELP (8-4357) for further assistance with name.# and OSU Internet password.

  • Complete Institutional Data Policy online training prior to being granted access to any of the Administrative Systems, see: http://buckeyesecure.osu.edu/Policy/InstitutionalDataTraining
    • Administrative Systems include: PeopleSoft, eReports, Admissions, Student Financial Aid, BARS, MARX, University Registrar's Web site, Alma Mater and the Operational Data Store.

  • Locate authorized System Access Contact using links below based on access needed.
    • Only System Access Contact can request user access and roles.

  • Determine Student Information System (SIS) user role:

OIT Data Security:
  • Verify the appropriate form has been received.
  • Validate the request and grant access to the new system user.
  • Confirm to original System Access Contact requestor that access is granted and that new system user may be notified.

System User:
  • The Buckeye Pass Two-Factor Authentication Token is not required at this time for HR, Financials or eReports portal users.
  • Once SIS access is approved, SIS users (Central and Distributed users, not self-service) must complete an online request for a Buckeye Pass Two-Factor Authentication Token at:  buckeyepass.osu.edu
    • More information on the Buckeye Pass Token is available here.

    • New users are notified via email with the time and location that the Token is available for pickup.
