HR Role Definitions
Users
with this role are required to take the first workshop in the Financial
Training series: "Introduction to Your Business Responsibilities
at OSU." Registration for this workshop is available at Financial
Concepts and Policies Training.

TK Entry |
Allows user to enter time and exception hours for bi-weekly and monthly employees. |
HR Position Data Entry |
User will have access to all fields (except Dept, College and OHR approval boxes and Key indicator) until position is approved at Dept or College (or OHR) level. Also, user is able to insert/delete row(s). |
Job Requisition Entry |
User will have access to create a job requisition when a department has a new or vacant position to post. The job requisition contains the information about the position's requirements and duties as well as recruitment information needed to post the position. |
Personal Data |
User will have access to view, add and update an employee’s personal data, including biographical data. |
Emergency Contact |
User will have access to view, and update an employee’s emergency contact. |
Identification Data |
User will have access to view and update an employee’s identification data, including citizenship. |
HR Job Data Entry |
User will have access to job data entry pages (Current Hire Process on Job data which includes adding an employment instance). Also, user is able to insert/delete row(s). No correction access. |
FML |
User will have access to request, authorize and track Family Medical Leave. |
Sponsored Projects PET |
User will have access to perform a Personnel Expenditure Transfer for a sponsored project. See PET. |
HR Additional Pay Entry |
User will have access to all fields except ‘OK to Pay’ checkbox, applies to pay period check boxes, Goal Amount, Goal Balance. Also, user is able to insert/delete row(s). |

TK Apprv |
User will have access to review and approve timekeeping entries. Users with this role will automatically be assigned the TK_READ role. |
HR Position Data Dept Approver |
User will have access to ‘Dept’ approval box and Comments Page until position is approved at College (or OHR) level. Users with this role will automatically be assigned the HRP_READ role. |
HR Position Data Col Approver |
User will have access to ‘College’ and ‘Dept’ approval boxes and Comments Page until position is approved at OHR level. Users with this role will automatically be assigned the HRP_READ role. |
HR Position Data OHR Approver |
User will have access to ‘OHR/OAA’, ‘College’ and ‘Dept’ approval boxes, Comments Page, FLSA status and Key Indicator box. Users with this role will automatically be assigned the HRP_READ role. |
HR Job Data Coll Deadline |
User will have access to job data pages based on the College Dead Line Date. |
HR Job Data OHR Deadline |
User will have correction access to job data pages for the fields that are currently available. No access to insert/delete rows. |
HR Additional Pay Approver |
User will have access to ‘OK to pay’ checkbox and comments only. |
HR Additional Pay OHR |
User will have access to job data corrections for the fields that are currently available, based on the OHR Dead Line Date. No access to Insert/delete rows without Job Data Entry role. |

Paycheck Earnings |
User will have read only access to paycheck earnings, taxes and deductions. |
PET |
User will have access to perform a Personnel Expenditure Transfer, which is a one-time adjustment to the general ledger (GL) made in the Human Resources system for salary expense transfers. |
Add Concurrent Job |
User is able to add additional, separate positions to an employee’s employment record, when they hold more than one position at the University. |
AMCP |
User is able to perform the system functions associated with the Annual Merit Compensation Process. This establishes employee salaries for the upcoming fiscal year. |
HRPREPT1 |
User will have access to HR eReports only. |
AT_All |
User will have access to perform the system functions associated with applicant tracking. |
Job Requisition Authorizer |
User will have access to approve a job requisition when a department has a new or vacant position to post. |
TK Read |
User will have read only access to all Timekeeping pages. |
HRP Read |
User will have read only access to Position Data, Job Requisitions, Job Data, Additional Pay and PET. |
FML Read |
User will have read only access to FML data. |
Please Note: Users may need to have access to multiple roles in order to perform their daily functions. For example, user A enters timekeeping and positions/job requisitions. User A will need to have both the Timekeeping Entry and HRP Basic roles.
